JOB TITLE: Administrative Coordinator
REPORTS TO: Vice President, Administration
HOURS: Monday – Friday, 8:00 – 5:00

Scope of Position

BEF is a national, nonprofit organization. Our mission is to support the development of renewable energy and watershed restoration while empowering people to shrink their carbon footprint. We are seeking an Administrative Coordinator to work with staff and management supporting the Foundation’s administrative functions.

Candidate Must Have

Stellar communication/interpersonal skills

The Administrative Coordinator works with the public constantly, whether it be answering the telephone, greeting guests or arranging meetings. This person should be friendly and enjoy working with people.

Flexibility

The Administrative Coordinator’s duties are highly varied, so flexibility is key. It is not unusual for this person to be interrupted or asked to switch gears several times a day. We are looking for someone who is focused, levelheaded, easy-going and cool under pressure.

Strong computer skills

The Administrative Coordinator must be proficient in Word, Excel and PowerPoint. This person must have strong Internet skills and be a quick study in all things technological. We operate a Mac office, so familiarity with Mac is preferred.

Salary / Pay Rate:DOE-BEF has a generous benefits package.
Required Skills and Abilities:Specific Responsibilities / Essential Functions • Answer phones and take messages • Open & distribute incoming mail, ship & receive packages • Run errands as necessary • Maintain Board/Staff Contact Lists • Maintain calendars • Make office coffee, stock fridge & order drinks when they run low • Maintain general office tidiness & cleanliness • Manage recycling/trash • Coordinate Board, Staff and Committee Meetings; set up satellite phone, arrange conference calls, assemble and distribute meeting packets, arrange venue, arrange catering. • File Documents: maintain filing lists, make new files when necessary • Maintain Furniture and Equipment Inventories • Assist Vice President, Administration • Assist President & CEO with calendar & scheduling • Assist President, CEO & Senior Staff with travel arrangements, event registration, meeting scheduling, and contact list data entry • Assist in contract process • Other duties as assigned • Work in a cooperative fashion
Qualifications:One year of relevant experience plus a college degree or 3+ years of relevant experience; working knowledge of Microsoft Word, Excel and Powerpoint
