Job Summary:

Collaborates with and provides administrative support for the Executive Director (ED) in the communications, administrative, and financial aspects of the Pacific Environmental Advocacy Center. Serves both internal and external functions.

The Pacific Environmental Advocacy Center (PEAC) is the domestic environmental law clinic for Lewis & Clark Law School and provides pro bono legal representation for environmental organizations. PEAC maintains a collaborative, educational and synergistic relationship with Lewis & Clark Law School faculty, staff and students; in exchange, the Law School contributes to PEAC’s budget and provides office space, technology and some administrative support.

Lewis & Clark College will conduct background checks on the finalist(s).

Minimum Qualifications:

• Associate Degree
• Minimum of two years of directly related work experience.
• High proficiency in writing, editing, and business math.
• Strong computer skills.
• Strong attention to detail and proven ability to produce high-quality work product under deadline.
• Excellent interpersonal skills; be a team player, have an open-minded, positive attitude.
• High degree of discretion dealing with confidential information.
• Track record of effectively prioritizing tasks and working independently.
• Typing skills with at least 35 WPM.
• Familiarity with Microsoft Office software (Word, Excel, PowerPoint).
• Familiarity with general office machines and telephone systems.
• Ability and willingness to work occasional early mornings, evenings, and weekends.
• Current driver’s license and clean driving record.
Preferred Qualifications:

• Bachelor’s degree or equivalent experience
• Familiarity with QuickBooks software.
• Familiarity with website management systems.
• Experience working for a non-profit organization.
• Experience in grant research, writing, and reporting.
• Interest in environmental issues and public interest work.

Essential Functions:

Admin and Finance Support

• Perform data entry and data clean-up tasks in PEAC’s information management systems (including, but not limited to, Rocket Matter, QuickBooks, and Raiser’s Edge).
• Type and word process documents as needed.
• Do regular photocopying, filing (paper + electronic), and scanning jobs.
• Order office supplies as necessary and monitor inventory.
• Maintain office calendar to coordinate work flow and meetings.
• Prepare meeting agendas and minutes.
• Support ED in all aspects of general office coordination.

• Maintain accurate daily accounting of fees, donations and other revenue.
• Prepare monthly client invoices for ED and staff.
• Prepare monthly PEAC purchasing card reports.
• Prepare and process payment and reimbursement requests.
• Compile statistical information and assist with completion of reports as requested by the Executive Director.

Development and Communications Support

• Draft and/or edit articles for web, newsletter, and other publications, update PEAC’s web and Facebook pages as requested.
• Process incoming mail as necessary and prepare outgoing mail, including bulk mail.
• Update and maintain mailing lists in collaboration with the ED and development office.
• Produce mailing labels and reports as requested.
• Maintain appropriate interpersonal relationships with employees, students, and consumers.
• Schedule meetings and events as requested.
• Provide support for meetings and special events (logistics, setup, etc.).
• Draft letters as requested.
• Prepare, write, and send thank-you cards for donations.
• Perform grant research with guidance from the ED.

Other Support

• Maintain PEAC workroom area, keeping it clean and free from clutter.
• Coordinate and transport dishes for lunch in the PEAC class.
• Run off-campus, work-related errands as requested by ED.
