ORGANIZATION MISSION STATEMENT

OMEN's mission is to increase opportunities for economically and geographically disadvantaged entrepreneurs by building the capacity and quality of Oregon microenterprise service providers.

ASSISTANT DIRECTOR RESPONSIBILITIES

1) Membership Services Management
• Develop, with OMEN team, and implement the strategy for member and partner outreach
• Coordinate communications with new, existing and prospective members
• Manage planning for OMEN Annual Summit on Entrepreneurship with Executive Director and Planning Committee
• Coordinate Annual Members’ Meeting and Board elections
• Coordinate annual membership drive
• Coordinate Campaign emails to membership, including monthly newsletter
• Oversee production of OMEN Membership Directory
• Maintain OMEN Member database
• Oversight of OMEN Asset Building Corps program, after extended orientation and training period

2) OMEN Strategy Implementation
• Track and drive implementation of OMEN’s Strategic Plan, and participate as peer on OMEN team, tracking OMEN’s three major member services (ABC, ML and CL) to ensure that OMEN members are getting maximum value
• Identify key constituents and stakeholders that OMEN might develop as members and partners; Provide leadership and intelligence to Executive Director to guide the management of these relationships in support of OMEN’s mission
• Drive OMEN’s “innovations” work by developing and incubating new ideas and program strategies through best practices research and analysis of OMEN current initiatives
• Evaluate potential strategic initiatives and provide feedback to the Executive Director and team as to their alignment with the overall organizational strategy
• Lead OMEN’s marketing and communications efforts to develop broad based programs that can develop and deliver compelling, influential materials and products
• Represent OMEN in forums and build partnerships needed to advance the organization. Work with Executive Director to secure broad buy-in and support of OMEN’s efforts.
• Help communicate organizational strategy and ensure its execution throughout the organization, making sure decisions at all levels align with the organization's strategic objectives
3) Grant Management and Fund Development
• With leadership of Executive Director, fundraise and secure gifts from corporate, foundation, governmental and individual donors to ensure the funds needed to carry out OMEN’s mission
• Perform grant research as requested by Executive Director or agreed upon by OMEN team
• Assist in grantwriting and application preparation; Manage and oversee annual fund development calendar
• Assist with grant reports; Manage and oversee annual grant reporting calendar
4) Board Management
• Preparation of minutes and all materials for board packets and committee meetings
• Support Executive Director in other duties related to Board management

5) Accounting Support and Office Technology Management
• Support Executive Director in Human Resources needs
o Accounting Support
o Enter accounting data, including Accounts Payable and Accounts Receivable in QuickBooks
o Generate Financial Reports as requested, including but not limited to Profit/Loss, Balance Sheet, Budget-to-Actual reports, monthly account reconciliation reports
o Assist in annual organizational audit preparation
o Ensure, with Executive Director, organization of fiscal and grant files
• Manage vendor relationships
• Answer customer service inquiries via, phone, email, and correspondence
• Perform ongoing OMEN website updates

PREFERRED EXPERIENCE
1. Minimum of four years experience in administrative coordination role
2. Ability to self-manage and problem-solve
3. Ability to set appropriate priorities, meet deadlines and manage multiple projects
4. Excellent written and oral communication skills
5. Excellent computer skills and experience with Office, website management, database management
6. QuickBooks experience (at least 1 year) and knowledge of basic accounting practices
7. Dedication to issues concerning women and people of color, self-employment, economic development concepts and practices
8. Experience working in a membership-based, advocacy, or mission-driven organization a plus
9. Successful candidates will be extremely detail-oriented and achieve excellence in all work products

PREFERRED QUALIFICATIONS
-Bachelor’s Degree
-High level of proficiency with Microsoft Word, Excel, Access, PowerPoint
-Flexible and willing to work occasionally on weekends and evenings throughout year
-Valid driver’s license and the ability to pass a criminal background check

Ideal candidate will be experienced in handling a wide range of executive and administrative support related tasks and will be able to work independently. This person must be exceedingly well organized, flexible, and enjoy the challenges of supporting a fast paced nonprofit Executive Director as part of a well-functioning team. The ability to interact with clients (members) throughout Oregon while managing own projects, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important in this position. Finally, a passion for the mission of the organization is a requirement of this position.

COMPENSATION: Competitive salary range of $33,000 – $39,000 (DOQ) and compensation package including health benefits (medical, dental, vision) and 401k
HOURS: This is a full-time salaried position
