Mission: Southside Swap & Play is a cooperatively run organization that fosters community building for families with young children in southeast Portland. We facilitate the exchange of useful goods, partner with local business and offer a high-quality and low-cost space for families with young children to have fun together all year long. We welcome members across all income levels and encourage families to connect with their local neighborhood to share resources and strengthen relationships.
Position Summary: The director is a part-time independent contractor that stewards a large community of families with young childen who are part of the co-op. This person works approximately 10-15 hours per week and most work time is done remotely with the exception of hosting scheduled Visitor Play Pass times each week. The director also communicates with representatives of Windward Education and Research Center (our sponsoring non-profit) by phone, email and meetings as needed. All agreements regarding the director as an independent contractor are managed by Windward Education and Research Center.
Core Responsibilities:
A) Business & Financial Oversight
- Oversee and/or delegate co-op fundraising including business sponsor program, special events and fundraising campaigns
- Manage co-op business needs such as insurance policies, lease agreements and paying monthly bills on time
- Financial management and oversight including credit union bank account, working with accountant, and managing the co-op’s modest budget
- Work with accounting and legal contractors on annual tax preparation and other correspondence with government agencies
- Maintain a positive working relationship with landlord (Our Lady of Sorrows Catholic Church) and building maintenance staff
- Provide or delegate emergency response to co-op issues that require immediate attention
- Work on strategic planning and long-term projects as needed
B) Manage Co-op Membership
- Manage new member intake process including but not limited to processing enrollment forms, updating member database, payments via PayPal or Square Register, and access to co-op members email list and private Facebook group
- Draft and send a weekly correspondence to co-op members email list regarding announcements, calendar of events, and other pertinent information
- Collaborate with volunteer committee leads and advisory board on special projects and day-to-day management of the co-op
- Provide support to committee leads to help ensure members volunteer at least 1 hour a month
- Facilitate group discussions and seek consensus among co-op members regarding organizational policies as needed
- Address potential issues if/when a member family or individual does not comply with co-op policies
C) Marketing & Outreach
- Oversee the organization’s public presence including marketing, outreach, promotional materials, special events and website
- Update website content and social media on a regular basis
- Provide tours and membership information to guests who drop in during Visitor Play Pass and seasonal open house events
- Research and follow up on new avenues and opportunities for promoting co-op membership
Skills & Qualifications
- Demonstrated experience with community building and/or family engagement initiatves
- Experience motivating and coordinating large groups of volunteers with diverse backgrounds
- Commitment to the environmental and community-oriented mission of the organization
- Familiarity with non-profit administration
- A professional, welcoming, and resilient disposition
- Resourcefulness and creativity to accomplish organizational goals and projects with limited funds
- Demonstrated understanding of risk management regarding children and organizational liability
- Superb written and verbal communication skills
- Demonstrated proficiency with Microsoft Office and Google Apps (required)
- Experience managing Google domains (desired but not required)
- Experience with website editing (desirable but not required)
- Must respond to emails and messages in a timely manner
- Must be able to lift 25 pounds
- Must pass a federal background check and have a safe driving record
Special Requirements
- Telecommuting is required. Southside Swap & Play doesn’t have dedicated office space at this time.
- Ownership of a personal computer, personal vehicle, and mobile phone that may be used for work purposes.
Education Required: High School Diploma (or equivalent)
Salary & Benefits: Base stipend of $500 per month. Additional stipend is possible (up to $1000/mo total) if benchmarks are met regarding financial stability as well as membership growth of the co-op. The director receives a complimentary membership as well as the ability to provide complimentary memberships to other families, if desired.
