The Vision Action Network (VAN) seeks a 30-hour a week administrative assistant. We are looking for an energetic, organized, committed person to join the staff of our small nonprofit agency. A bachelor’s degree or equivalent and good communication and organizational skills are required. Work experience with nonprofits is strongly preferred; experience with government service is helpful. Position: Administrative Assistant

Posting Date: May 26, 2009

Closing Date: June 15, 2009

Work Hours: 30 hours per week 9:00 AM – 4:00 PM Monday through Friday preferred, with some flexibility to meet job requirements (regular weekly work schedule may be negotiated). Some evenings and weekends required.

Compensation: $15.00 - $17.00 per hour (DOQ)

Benefits: Generous package including Paid Time Off, health and dental insurance after first month, and 5% retirement after 12 months.

Description:

To provide a variety of administrative support functions for a small non-profit agency. Support functions include, but are not limited to, daily office function and coordination; telephone, email, and other communication; meeting and event logistics; preparation of technical reports and other written documents; and interaction with agency partners and the public.

Qualifications:

 BA or equivalent combination of education and experience.

 Work experience with nonprofits strongly preferred; experience with government service is helpful.

 Ability to communicate effectively both verbally and in writing.

 Ability to write and edit letters, technical reports, and other written documents.

 Ability to take and produce high-quality meeting minutes and notes.

 Ability to use and understand data.

 Good computer skills; experience with Microsoft Word, Excel, Powerpoint, and Outlook strongly preferred.

 Ability to use email and listserve communication effectively.

 Self-directed work style; able to take initiative; able to work both independently and as part of a team.

 Good organizational skills; ability to juggle multiple projects and priorities.

 Commitment to the mission of the organization and to building strong networks, relationships, and collaborations.

 Valid driver’s license and access to automobile (mileage reimbursement is provided).

Tasks:

Office:

 Run daily operations of the office including typing, record-keeping, filing, answering and responding to telephone and email inquiries, receiving visitors, scheduling appointments, and organizing meetings.

 Answer inquiries of the public; explain purpose of the agency; help people access the agency’s activities; distribute appropriate materials and documents; refer callers to the proper sources; screen visitors and schedule appointments.

 Support Executive Director with accounting functions as directed.

 Operate computer hardware and software applications, including Microsoft Word, Excel, Powerpoint, and Outlook, and Quickbooks.

Meetings:

 Organize all aspects of meeting logistics as directed by executive director, including communication with participants, organizing date/time/place, providing materials and food as needed, and taking and distributing minutes.

Written communication:

 Email communication – maintain contact list and distribution groups, send periodic email communication as directed by the executive director, respond to emails as appropriate.

 Other communication – write, type, edit, and proofread letters, minutes, memos, forms, correspondence, reports, and a variety of other written communication as directed.

 Copy, compare, or compile data to produce reports for the executive director by checking data, making necessary corrections, and producing data in final form.

Other:

 Relate effectively with people from various and diverse sectors of the community.

 Perform related duties as assigned.

Supervised by: Executive Director

Evaluation: Performance review at 6 months, 12 months, and annually thereafter.
