position summary:

Health In Harmony seeks an Administrative Assistant/Bookkeeper with strong office and administrative skills and demonstrated accounting experience (preferably with a background in non-profit accounting). This position will require a flexible 2-6 hours per week, working weekly at Health In Harmony’s Portland office and from a home office, with expanded hours and responsibilities from approximately August 30 to October 30, 2009.

Health in Harmony (HIH) is a U.S.-based, 501(c)(3) organization that supports Project ASRI, an innovative program in rural West Kalimantan, Indonesia. ASRI integrates care for human and environmental health by partnering with local communities to provide high-quality, affordable healthcare and protect the threatened rainforest. In 2007, ASRI opened a clinic offering medical and dental care to the people of that region. ASRI enables local villagers to pay for their healthcare by working on a range of environmental conservation projects aimed at preserving the local rainforest. HIH’s primary goal for the next five years is to raise funds to build a teaching hospital. This facility will not only provide medical care but will also train doctors and healthcare workers to replicate this model in other places, protecting threatened environments globally while caring for the medical needs of the world’s poorest people.

Salary / Pay Rate:Commensurate with experience and local norms for comparable positions; no additional benefits.
Required Skills and Abilities:Responsibilities: 1. ADMINISTRATION • Manage incoming mail • Prepare donation checks for deposit • Track volunteer interest and listserv subscriptions • Respond to/redirect e-mail inquiries in Executive Director’s absence – Aug-Oct, 2009 • Prepare and coordinate fall fundraising mailing 2. DONOR MANAGEMENT • Enter donations into donor database • Produce donor thank you letters • Send out, or work with volunteers to send, donor thank you letters • Produce reports as needed 3. FINANCIAL TRACKING • Enter donations into QuickBooks • Reconcile bank statements with QuickBooks • Prepare tax filing information; work with CPA • Send checks/payments/reimbursements • Keep receipts of all expenses and track expenses in Quickbooks • Track restricted and in-kind donations • Track product inventory and sales • Produce reports as needed 4. OTHER DUTIES AS ASSIGNED • Documentation of administrative, donor management and financial procedures • Web research • Travel arrangements • Event support; possibility of extra hours for events
Qualifications:1. Demonstrated experience in accounting and tax filing, preferably accounting for non-profit organizations 2. Record of success in administrative and fiscal management; 3. Detail-oriented; 4. Demonstrated success in working independently; 5. Outstanding communication skills; 6. Computer literate; adept in use of QuickBooks; knowledge of standard applications; database experience or willingness to learn; access to high-speed internet.
