Purpose: To ensure the efficient office operation of the Community Housing Resource Center and assist the Executive Director and Board of Directors raise operating support to fund program services.

Supervisor: Executive Director

Major Responsibilities

Office Manager (1/2 time): • Manage the day-to-day operations of a well-organized office which includes supplies, computers, server, copier, phones, all office equipment and office maintenance. ● Assist the Executive Director with office management functions as assigned. ● Work with Executive Director and Bookkeeper to process agency bills, weekly deposits and monthly financial reports. Utilize accounting software to track expenses and revenue and produce reports as needed. • Maintain all financial and general office and vendor files.

Development Assistant (1/2 time): • Assist the Executive Director and Board of Directors by coordinating all agency fundraising events. • Maintain the agency’s donor database and donor page on the Center’s website. Prepare reports from the donor database. • Invoice pledges and accounts payable for revenue generation. • Send all contributors acknowledgements of financial and in-kind contributions. • Assist the Executive Director with grant preparation as needed. • Assist the Executive Director with the production of the Center’s newsletter.

Performance Measures for Major Responsibilities • Play a vital role in generating revenue goals and coordinating successful fundraising events. • Maintain the office donor database and accounting software. • Work in partnership with all Center staff, the Board of Directors and volunteers to meet organizational goals and help produce the Center’s newsletter. • Maintain a well-organized and efficiently run office operation. ● Adhere to agency policies and procedures and identify new organizational efficiencies where needed. ● Positively promote the Center and its services. Skill and Experience Required: ● Bachelor’s degree. ● Professional experience in managing a busy office. ● High degree of organizational skills. ● Excellent verbal and written communication skills. ● Ability to work independently and take initiative. ● Strong computer skills in Microsoft Office, QuickBooks, Donor software and IT skills to maintain the office network and computers. ● Professional experience working with diverse populations and volunteers in a non-profit organization. ● Demonstrated attention to detail and ability to follow through on tasks and meet deadlines. ● Enthusiastic approach to the mission of the agency and fundraising. ● Ability to maintain confidentiality about all donor and agency financial matters.

Working Conditions Normal office environment. Occasional standing and computer work for extended periods. Some lifting required (20-40 lbs.) Valid driver’s license and travel with own insured vehicle is periodically required.
