position summary:

“I Have a Dream” Foundation – Oregon is a small, dynamic non-profit organization which aims to significantly increase college completion rates for low-income children in the Portland metropolitan area and throughout Oregon. “I Have a Dream” Foundation – Oregon has very recently adopted bold new directions for its future and is seeking highly motivated, competent, and flexible professionals to join our mission-driven team.

The Office Manager is responsible for a wide variety of day-to-day office operations, including critical areas of finance, technology, public and board/committee liaison, human resources, and general office and administrative operations. The Office Manager also provides administrative assistance to the staff management team (President/CEO, Program Director and Director of Development and Marketing).

KEY RESPONSIBILITIES:

FINANCE

- Process bills, payments, reimbursements, purchase orders, donations.

- Maintain appropriate files and ensure proper procedures are followed by all staff.

- Collaborate closely and effectively with bookkeeper to maintain and refine systems and procedures.

TECHNOLOGY/WEB/DATABASE

- Maintain email, server, and related technological systems.

- Coordinate and conduct web site updates.

- Assist in creation and maintenance of new database system to track donors, program participants, volunteers, staff, board and other constituents.

- Collaborate closely and effectively with management team, staff, and outside vendors to constantly improve technology systems.

PUBLIC AND BOARD/COMMITTEE LIASON

- Receive and route guests, phone calls, and mail.

- Positively represent the organization to the public, to the Board of Directors, to advisory and other committees, to past, current, and to prospective sponsors, donors and volunteers.

HUMAN RESOURCES

- Orient new employees and process compensation, benefits and related paperwork needed for all employees.

- Process contracts with external consultants and service providers.

- Maintain files on past and current employees, job applicants, program participants, and contractors.

- Collaborate closely and effectively with management team to ensure compliance and maintain and refine systems and procedures.

GENERAL OFFICE AND ADMINISTRATIVE OPERATIONS

- Maintain office systems, equipment, materials, supplies and physical office environment.

- Maintain cost-effectiveness and ensure high quality service with outside vendors in all Key Responsibility areas.

ADMINISTRATIVE ASSISTANCE

- Schedule and help prepare for individual and group meetings, including regular staff and board meetings.

- Provide assistance on materials, events, and proposals to donors.

- Provide other assistance, as needed, for President/CEO, Program Director, and Director of Development and Marketing.

Qualifications:REQUIRED: Minimum of three years experience in highly related office management work (see Key Responsibilities above). Strong organizational, administrative skills. Strong technological skills. Strong communication skills and public interaction skills. Positive attitude, strong work ethic, commitment to teamwork and to the mission of the organization. Flexibility and adaptability to change. PREFERRED: Completion of a college certificate or degree. Experience in small organizations and/or nonprofit organizations. Basic graphic design experience a plus.
