Receptionist/Program Assistant with Women's Social Justice Organization

Oregon Tradeswomen, Inc. (OTI) is seeking a Receptionist/ Program Assistant.

This position will be a full time salary position with occasional evening and weekend hours, and some flexibility in schedule. The Receptionist/ Program Assistant would be an experienced, gracious and professional first point of contact for OTI’s public, and assist the Office Manager with program support and clerical tasks. This is a one-year temporary position with continuation contingent on funding. Salary is negotiable commensurate with experience.

Organizational Background:

Oregon Tradeswomen, Inc. is a membership based grassroots non-profit that seeks to bring women into the high-skilled, high-waged building, construction, mechanical, technical and utility trades through organizing, peer support, coalition-building, community education, training and placement services. Our three programs are: Pathways to Success - helping adult women to enter and succeed in the trades, TO GO - increasing career options for girls by educating them about trades careers and T.O.O.L.S. - leadership development for tradeswomen in order to provide a tradeswomen's voice at the policy table as well as support for a safe and equitable work environment.

Based in Portland, Oregon, at 1714 N.E. Alberta Street, Oregon Tradeswomen, Inc. works with tradeswomen and their allies around the state and in SW Washington, in coalition with sister organizations nationally, and in local coalitions with people-of-color organizations. Our mission is to promote the success of women in the trades through education, leadership and mentoring.

The Receptionist /Program Assistant position:

Our team of eleven staff relies on the Receptionist/Program Assistant to be an experienced, gracious and professional first point of contact for OTI’s public, and to play a strong supportive role in the carrying out of the organization’s mission, under the direction of the Office Manager. As the Receptionist, this position is responsible for informing the public and answering questions about OTI’s programs and events, registering those interested in program offerings and events, and forwarding callers to the appropriate staff. Program Assistant duties will be to support and provide assistance to our programs, assisting the Office Manager with clerical duties such as data tracking and entry, filing, contact management, mailings, inventory and supply ordering. The ideal candidate will enjoy working with people in a team atmosphere with constantly changing tasks.

Responsibilities:

Reception:

¨       Receive and route phone, e-mail and walk-in inquiries from the public

¨       Respond to inquiries about OTI’s programs & events

¨       Register those interested in program offerings and events

¨       Be the welcoming voice and face of the organization

¨       Make reminder calls and e-mails about events

Program Assistant

¨       Perform data entry

¨       Enter new contacts in database

¨       Update changing information for contacts

¨       Assist with tracking placements, status of program grads and other clients

¨       Follow up phone calls to program participants

¨       Word processing/correspondence

¨       Maintain filing system

¨       Track inventory

¨       Maintain office supplies

¨       Be proficient in Word, Excel, e-mail and other programs, and assist staff with training/using as needed

¨       Attend OTI events to assist as needed

¨       Other duties as assigned by the Office Manager

Qualifications:

¨       Minimum three years experience as receptionist and administrative/office support

¨       Experienced at handling public inquiries in welcoming and professional manner

¨       Experience with office filing systems

¨       Demonstrated computer literacy skills including proficiency with Microsoft office software and Outlook.

¨       Excellent oral and written communication skills. Ability to prepare clear, concise, and typically error-free materials.

¨       Excellent organizing skills including the use of a tickler file and hard copy and e-calendar systems

¨       Knowledge of modern office procedures, methods and equipment including computers, copiers, fax machines, multi-phone lines.

¨       Strong problem solving skills

¨       Ability to meet deadlines, prioritize tasks and manage time

¨       Ability to collaborate and work well with a wide range of people

¨       Respect for all forms of diversity and the viewpoints of others

¨       A plus, but not required: experience with Filemaker Pro, IT skills or bilingual

Salary & Benefits

This is a full time salary position with occasional evening and weekend hours required, and some flexibility in schedule. Salary is negotiable commensurate with experience. The position has following benefits during the time of employment. OTI pays for medical and dental coverage through Providence Health Plans. Vacation entitlements are two weeks vacation for the first two years, three weeks in the third & fourth year and four weeks after four years. We honor ten paid holidays. Ten days of sick leave accrue each year. We offer a Simple IRA 3% match retirement plan. Great atmosphere and work environment!
