Overview: The Regional Hosting Coordinator develops and implements strategies to build and expand the strength and continuity of our volunteer hosting teams. Hosting teams operate within geographically defined AFS Area Teams at the local level, in order to meet the host family recruitment goals and priorities of the organization, including compliance to AFS, government and CSIET regulations and standards.

The Regional Hosting Coordinators broad responsibility is to collaboratively create a plan, implement it and monitor progress to ensure that each of the Coordinators assigned Area Teams has a sufficient base of trained and registered local volunteers, and sufficient recruitment activity to meet the Area Teams annual qualitative and quantitative hosting goals.

Responsibilities: Pre-Recruitment 1. Assess and document the strengths and weaknesses of the hosting programs in each Area Team, including the quality of programs and potential for growth. 2. Work with the Regional Hosting Manager and Area Team volunteer leadership to ensure the development and implementation of an annual host family recruitment plan to meet the Area Team hosting recruitment goal. 3. Ensure that hosting leadership positions are filled, trained, supported and functioning effectively so that AFS quality standards, national and local regulations and CSIET requirements are met with regard to host family recruiting and screening. 4. Communicate to volunteers the tools available for their use and the methods of recruitment available. 5. Coordinate annual host family recruitment plans with National Marketing Specialist.

Recruitment 1. Ensure every student is placed in a quality permanent family with a school placement in a volunteer supported area. 2. Support hosting volunteers in lead generation activities. 3. Assist hosting volunteers in recruiting new schools, and help build quality school relationships with those new schools or current schools without adequate volunteer support. 4. Ensure host family leads are managed in a timely fashion. 5. Monitor Area Team benchmarks, and communicate achievement or shortfalls of goals to volunteers. 6. Implement specific lead generating activities as outlined in the contingency plan, if a recruitment shortfall occurs.

Application Management 1. Student Application a. Process student applications utilizing process checklists and verify student information in necessary databases. b. Determine eligibility of hosting participants for AFS programs using program criteria. c. Communicate with AFS Partner Countries on missing or unclear information, and assign status.

2. Host Family Application a. Ensure all potential host families have fully completed the hosting application process. b. Enter and process host family paperwork using necessary databases. c. Communicate with volunteers and Support Department on missing or unclear information, and assign status. d. Email host family application to AFS Partner Countries in timely manner.

Placement Request Management 1. Process requests, including any special placement requests, and change host family and student statuses in relation to host family screening. 2. Process welcome to permanent requests, and notify AFS Partner Countries and Support Department of changes. 3. Process any gateway changes, withdraws, NOB/SOB and late arrivals as needed.

Administration 1. Serve as member of the Regional Hosting Team, including staff meetings and trainings and other duties as required. 2. Remain well-informed about all AFS programs, especially any hosting program changes. 3. Provide timely and accurate responses or information to host families, volunteers, AFS Partner Countries on Hosting Department procedures while adhering to international contact standards. 4. Implement, facilitate and monitor volunteer recognition programs and activities for hosting volunteers. 5. Ensure requests to update volunteer affiliations or contact information are completed in a timely fashion.

Salary will be negotiated at the time of hire.

Work Conditions: Work hours are generally from 9:00 am 5:00 pm, Monday through Friday. Some evening and weekend work may be required. Some domestic and international travel may also be required.
