Friendly House, Inc.

Customer Service Representative I

Founded in 1930, Friendly House, Inc. is a non-profit neighborhood center and social service agency in Portland, Oregon.

Scope of the position:

   The Customer Service Representative position is customer focused to meet or exceed internal and external customers’ expectations and needs.  The person who fills this position must put customers at the center of all work activities and take time to ensure that every Friendly House customer feels valued.  This position represents the face of Friendly House and is the first contact with potential customers.

Essential Job Functions:

·        Answer multi-line phone for all programs, direct calls, greet and attend to individuals as they enter the facility.

·        Develop relationships with existing and potential customers of Friendly House.

·        Provide accurate information regarding all Friendly House programs in a positive, professional manner.

·        Coordinate enrollment of participants in Friendly House classes.

·        Maintain and update membership database.

·        Coordinate both external and in-house rentals.  Complete all necessary paperwork including entering rental in the schedule book.  Communicate accurate and precise information regarding all aspects of the rental as applicable.

·        Collaborate with all staff members to ensure satisfactory interactions with all customers and clients.

·        Attend FH and Campus Services staff meetings. Provide information and pursue solutions to workplace issues.

·        Perform opening duties including deactivating the alarm and preparing main building for the day or perform closing duties including closing the main building and setting the alarm.

·        Perform accurate record keeping including proper cash handling, working the cash register and invoicing.

·        Report main building maintenance requests to supervisor

·        Check rooms periodically, empty full trash and recyclables and deposit in proper locations.

·        Communicate with customers and staff in a positive and constructive manner.

·        Perform light janitorial that may include (but not limited to) emptying trash and recycling, vacuuming, wiping up spills, wiping down walls and counters and dusting.

·        Perform other duties as assigned.

·        Willingness to work alone when necessary while maintaining security of building.

·        Ability to answer several phone lines while serving multiple needs of visitors.

·        Excellent time management skills and attention to detail.

·        Must be comfortable working without on-site supervision in a diverse, busy environment.

·        Ability to make sound decisions and form appropriate assessments quickly.

·        Must pass criminal background check.

·        Must have and maintain current Red Cross first aid certification including AED training (training will be provided).

·        Ability to follow fiscal procedures consistently and accurately and with attention to detail.

·        Knowledge and proficiency on PC based software (Windows and Office).

Interpersonal Contacts

The Customer Service Representative has contact with customers and staff and is usually the first link to Friendly House.

Job Conditions

This job is performed at Friendly House’s main building.  Job duties are performed in a multi-use, often busy and diverse environment.

PM Shift - M-F 2:00 PM - 9:30 PM

 

Compensation:

$11.10 per hour . Health benefits, paid vacation and sick leave.  A membership in the Friendly House Community Center is given to all Friendly House staff members.

 

POSITION STATUS:

Full time non exempt.
