position summary:

Oregon College of Art and Craft seeks an extension program registration assistant. The extension program registration assistant reports to the extension program director with supervision by the extension program assistant. The extension program registration assistant processes registrations for all College community education programs, serving approximately 2,000 students from age 18 months – 99 years annually. The ideal candidate will have a thorough understanding of registration practice and exceptional attention to detail. They will enjoy working in an energetic and supportive environment and will particularly enjoy working closely with the public in a welcoming and vital artistic community. This is a part time hourly position (25 to 28 hours per week) for FY 2011 (July 1, 2010 to June 30, 2011) with the possibility of continuing beyond that point should budget support be available.

Duties and Responsibilities: Administers all aspects of registration services for all College community education programs • Processes registrations for all extension programs, including those received on the web, via postal mail, through the front desk, by fax and by phone • Receives phone registrations and provides customer service by phone for all questions related to extension programs • Helps maintain all paper and electronic student and registration files in extension program office • Processes payments and refunds for all registration-related activity • Coordinates with degree program registrar on for-credit classes and degree student registration in Studio School courses • Produces instructor packets including class rosters for instructors before the start of each course • Produces enrollment reports and data, distributing to instructors, faculty department heads and staff as needed as needed • Provide data for and proof extension program catalogue each semester • Other duties as assigned by the extension program director or extension program assistant Oregon College of Art and Craft is committed to equal employment opportunity for all persons without regard to race, color, creed, religion, sex, national origin, marital or parental status, political ideas, sexual orientation, age or disability. Salary / Pay Rate:$10.00 hour, non-exempt
Required Skills and Abilities:Excellent verbal and written communication skills and a positive, pro-active approach to serving the College’s extension students is essential. Database management experience is required (knowledge of Filemaker preferred), along with proficiency with Microsoft Excel. Familiarity with OCAC’s campus and programs, as well as an appreciation of contemporary art and craft is a plus. Knowledge of higher education policy and procedure is very helpful.
