position summary:

Financial

* Ensure that proper fiscal controls and systems are in place to produce reliable, timely and accurate financial statements, documents and reports.

* Support annual budget development and tracking.

* Prepare reports and facilitate annual financial reviews. Prepare tax statements and all local, state and federal reports. Work with auditor and Executive Director to ensure a smooth and timely financial review.

* Ensure compliance with restrictions on grants and sponsored projects. Track and monitor grant and contract expenses. Monitor and service all sponsored and special projects, ensuring the legality of interactions and maintain individual up-to-date files.

* Disbursements and deposits. Process all incoming and outgoing funds including check writing, electronic funds transfers, credit card deposits, bank deposits and payroll.

* Maintain relationships with banking institution(s) that are mutually beneficial.

* Analysis of account balances and performance of other internal audit activities, including the preparation of journal entries to ensure accuracy of accounts.

* Track program expenses, revenues and prepare monthly budget to actual reports: monitor contract maintenance and administration of sub-contracts.

* Review monthly VISA statements for inaccuracies and/or personal use.

* Prepare payroll entries for payroll service in a timely and consistent manner.

Personnel

* Manage staff benefits. Orient new staff to benefits, answer staff questions.

* Track, maintain and input data for leave time.

* Maintain personnel files. Ensure supervisors are conducting annual evaluations in a timely and appropriate manner. Maintain personnel policies and update as needed. Ensure that they are understood and followed by staff.

* Manage relationships with vendors.

* Post job openings on the internet, newspapers and other sources.

* Actively participate in creating a respectful, healthy workplace.

Operations

* Supervise Events Coordinator and manages intern outreach and assignments.

* Oversee the management of office space and equipment, including negotiating office and equipment leases and their maintenance.

* Work with consultants and Executive Director to identify and implement needed technology upgrades and overall technology systems.

* Work with the Development Director to oversee and manage the database to meet the Center’s development, communications and program needs.

* Oversee logistical support for Board meetings and program trainings.

* Maintain corporate records, filings and insurance policies.

Salary / Pay Rate:42-46000 plus benefits
Required Skills and Abilities: * Demonstrated experience as a full charge bookkeeper, preferably 3 years. * Bookkeeping experience with a non-profit organization. * Ability to communicate finance concepts to people with less experience in finances. * Administration of benefit plans and oversight experience working with computerized account software (preferably in MIP) accounting program and producing spreadsheets using Excel 2003. * Strong computer skills, including proficiency using Microsoft Office Suite. * High attention to detail and ability to problem-solve. * Demonstrated success in leadership and supervision. Ability to work effectively with a wide range of people to achieve organizational objectives. * Excellent oral and written communication skills. Proven success in negotiating and conflict management. Must maintain confidentiality and demonstrate sensitivity, tact and discretion in all aspects of work. * Commitment to the Center's mission of advancing social, racial, gender, economic and environmental justice in the West.
