The Portland Japanese Garden has been an integral part of this community for over 47 years. The Garden’s Strategic Advancement Department is responsible for generating revenue from memberships and donations that provides over 40 percent of the organization’s operating budget. This is accomplished through memberships, individual giving, corporate sponsorships, corporate memberships, grant writing, special events, special project fundraising, and planned gift programs.

Position Overview: The Membership/Development Administrative Assistant reports to the Director of Strategic Advancement and is the main support position for the department. This position also works closely with the Membership and Annual Fund Manager. The right candidate will have a positive attitude, an interest in membership, development, and the nonprofit sector, and be a self-directed problem-solver able to get things done. Strong time-management skills, the ability to work quickly and accurately, and a willingness to take on new responsibilities as they arise are also important. The ideal candidate will know how to work in a fast-paced environment and will be excited by the opportunities available in a growing department and organization.

Salary / Pay Rate:Up to $14 per hour/40 hours per week depending on experience; Medical & dental insurance provided on 1st of month following 30 days of employment; 401K - Match available one year from first date of employment
Required Skills and Abilities:• Be proficient at Raiser’s Edge database software for data entry of memberships and donations, reporting, and pulling lists for the membership and annual fund mailings, invitation lists, donor recognition lists, etc. • Generate acknowledgements for all memberships and contributions in an accurate and timely manner • Coordinate direct mail projects for membership, annual fund, and other fundraising mailings • Create monthly reports for membership and development • Manage and organize the development office: photocopying, filing, organizing • Help create and maintain moves management system for development donors and prospects • Compile and package grant applications for submittal • Track and manage inventory for membership and fundraising materials • Work with vendors (direct mail, printers, etc.) as needed for projects and mailings • Assist with and attend Garden special events at the Garden and at offsite venues • Other duties as assigned
Qualifications:Job may involve some medium-light lifting Job may require working on weekends and evenings at times Must be proficient in Microsoft Excel and Word with some knowledge of PowerPoint Experience with Raiser’s Edge preferred but experience with other fundraising software acceptable
