position summary:

The Gift Trees and Membership Services Specialist will work closely with the development and communications team, who are focused on program staff support, major donor fund raising, general membership, events, prospects, research and database management. This position coordinates with the Chief Development Officer, Communications Director, Development Manager and program staff.

Description of duties:

Be a team member supporting Friends of Trees' program to sell trees, boost our membership, and enhance corporate fund raising. Expand Gift Trees program by strengthening and redefining the Gift Tree model (with Communications & Development team).

Increase program revenue with innovative new communications and marketing strategies. Ex: identify increased revenue potential, develop multiple “cause” donation categories on FOT website, redesign cards and initiate new advertising schemes.

Gift Tree Projects, 45% time commitment: • Work with the Chief Development Officer to create a multi-year marketing plan • Work with the Communications Director on media outreach • Enhance relationship with Audubon and Metro project partners through increased communications between organizations and increased publicity of gift trees in Audubon and Metro sphere. Reach Audubon members through direct mail and inclusion in their newsletter. Work with Audubon’s existing ecology plan for Collins Sanctuary. In conjunction with Audubon, research appropriate signage for the Collins Sanctuary. Coordinate Collins Sanctuary maintenance with GSI for the good of the entire FOT organization • Coordinate and run all aspects of Gift Tree plantings that are beyond a regular GSI planting, such as speakers, transportation, etc. • Expand number of plantings per year as needed • Cultivate relationships with program participants through improved, hands-on customer service and by creating personal blog/newsletter stories about select participants • Fulfill general office responsibilities from processing cards to providing exceptional customer service • Pursue partnerships with faith-based organizations for inclusion in their newsletters and supply our collateral materials • Identify and approach businesses for inclusion in Gift Tree marketing and supply counter displays • Create a simple Gift Tree card with individual codes that can be marketed from a typical retail stand • Coordinate and staff outreach events to promote and sell Gift Trees • Obtain or exceed the annual goals in the MOU • Keep expenses at a minimum • Turn the Gift Trees program into a sustainable profit center • Produce planting reports for financial accounting with Audubon

Membership Services, 55% time commitment: • Support program staff and tree sales • Redefine membership and donations strategy (with the communications & development team) • Increase revenue by introducing new membership and donations strategies. Ex: Add a family membership category, consider increasing dues, and introduce merchandise as member “awards” • Create innovative membership-drive strategies. Ex: encourage sign-ups at plantings by giving new members a T shirt or tote bag • Prepare annual report mailing to member/donors credited in the publication with different letters depending upon their scale of giving • Over time become competent enough in Sales Force and Conga to be a resource for program staff • Develop new systems in Sales Force for tracking and processing contributions • Use Sales Force to reduce administration expenses • Run monthly Sales Force reports for mail-merged membership renewal • Track and report Earth Share Oregon contacts and contributions • Contact key donors throughout the year • Set up appointments for the Chief Development Officer • Assist the Development Manager in organizing the Annual Leadership Awards Luncheon • Guide one summer intern who will answer the phone and work with Neighborhood Trees staff to obtain correct email addresses, make phone calls, and other tasks as needed

• Process donation acknowledgments on a weekly basis

• Research membership services to improve efficiency

• Maintain inventory of stationery and supplies needed in the department

• Fulfill general office responsibilities, from mail-in membership drives to membership processing and data management

• Maintain Google Ad Words campaigns with reporting every two weeks

• Coordinate & staff outreach events to increase membership and donations

General staff duties:

• Attend staff meetings and retreats

• Submit accurate record of time and expenses to the office manager at month-end

• Help keep office workspace and vehicles in good condition

• Participate in fundraising for FOT general funds (phone banks, events, etc.)

• Contribute to Friends of Trees blog

• Other duties as required

Salary / Pay Rate:$16,000 for 20 hours per week; eligible for full benefits; regular, exempt position
Required Skills and Abilities:Strong job candidate will be: • Well organized with excellent time management skills • Self-motivated, organized, and able to juggle multiple tasks and deadlines effectively • A fast writer with excellent editing skills who appreciates a collaborative process • Skilled with MS Word, Excel, PowerPoint • Experienced with Customer Relationship Management databases, particularly Salesforce • Have excellent customer service skills • S/he should enjoy working with diverse people and have strong social and interpersonal skills. • This person should be prepared to grow personally and professionally with our organization.
