Executive Assistant - Marketing

The Executive Assistant provides administrative support to the Vice President of Marketing, Retail & Sales assisting with the coordination of department operations, budgets and accounting, administrative and office tasks and special projects. This position acts as a liaison between the Marketing Department and museum staff and outside contacts including general public, vendors, marketing partners and other professionals, provides clerical support to the Vice President including but not limited to calendar management, coordinate meetings, greet guests, provide telephone service, writing and preparing correspondence, filing and other administrative tasks, coordinates, maintains and monitors department’s cost accounting system including budget spreadsheets, monthly financial reports, and various financial forms, tracks and report ticket sales and other product sales including OMNIMAX theatre, attractions, camps and classes and other products, coordinates meetings/conferences, travel arrangements and other activities, maintains strategic calendar for department, designs and maintains office systems to help the department operate more efficiently, and records and executes meeting minutes, assist with the preparation of presentations and reports.

Ideal candidate will be highly self-motivated, professional and organized, have excellent communication skills, both oral and written, and ability to maintain a high degree of confidentiality, ability to exercise initiative and good judgment; possess excellent problem-solving, clerical, administrative and interpersonal skills, ability to effectively manage and track multiple projects simultaneously, with strong organizational and project management skills, work well under pressure with a high degree of accuracy and meet stringent deadlines without direct supervision, be proficient in Microsoft Word, Excel, Outlook and Power Point, have thorough knowledge of office practices and procedures and business writing, working knowledge of accounting/budgeting principles, procedures and standards, and attention to detail and accuracy with the ability to manage paper flow. A minimum 5 years experience of administrative support at the executive level, a Bachelor’s degree preferred or equivalent combination of education and experience, and marketing/promotion experience is preferred. Pay: $32,964 - $41,204 per year. Position open until filled.
