Ecotrust Event Supervisor Position Open

Background:  In the fall of 2001 Ecotrust moved its headquarters to the Jean Vollum Natural Capital Center, an historic 1895 building in the Pearl District restored using environmentally benign building practices.  The building has become a gathering place and marketplace for the exchange of environmentally and socially responsible goods, services and ideas for the Pacific Northwest.  The Natural Capital Center features environmentally sensitive construction, a community of tenants and a very unique events center.  The events center is an integral part of the Center’s mission of encouraging the exchange of ideas for a sustainable future.  Beginning in the fall of 2008, the Ecotrust Venue team will also be managing evening and weekend events for the American Institute of Architects (AIA) Center for Architecture, A platinum LEED venue in the Pearl District.

 

Job Description:

The Event Supervisor will work with the Director of Events and Senior Event Coordinator to manage event staff and service events. The qualified candidate must be able to collaborate with staff and clients, be customer service orientated, and proficient coordinating the event details which lead to a successful event.  The candidate must enjoy working in a fast paced environment and be committed to the organization’s mission. Physical work is involved – the Event Supervisor will at times be involved in event setup and breakdown which entails moving tables, chairs and small tents.  Position requires flexibility with schedule. 

Reports to: Director of Events

Status: Fulltime position, typically Tuesday – Saturday, however hours will vary depending on event needs.

 

Duties include:

Servicing events - Will often be the onsite contact for clients using rental spaces.

Supervising a small team of part-time event staff. 

Contacting clients and coordinating set up and logistical event related details.

Giving informational tours of the event spaces to prospective clients.

Assuring successful setup/breakdown of events.  This is a physical position and at times entails moving tables and chairs.

Training set-up crew, security and guest services assistants.

Creating and revising schedules for the set-up crew, extra cleaning, security, and guest services assistant. 

Managing supplies for all rental venues.

Invoicing and assuring accurate tracking of deposits and payments.

Maintaining a Sales Force database of current and future cliental.

Other duties as assigned.      

 

Qualifications:        

Highly developed customer service and hospitality skills.

Experience in event sales and/or event planning.

Ability to prioritize as the situation demands.

Highly organized, personable and proactive. Ability to problem solve and work as an effective team player.

Mandatory top-level knowledge of Microsoft Office Suite, prior Sales Force Knowledge a plus.

Able to lift 50 lbs.

Tolerance for ambiguity.

Enthusiasm for the mission of Ecotrust.

Enthusiasm and knowledge about a/v equipment a plus.

 

Compensation: This is a fulltime position. Starting pay is $29,000 to $32,000 a year depending on experience, plus bonus. Medical and retirement benefits and a generous vacation package included. Ecotrust is an equal opportunity employer.
