Office Manager Position

Position:  Office Manager

Hours:  30 hours week, benefits include vacation and sick leave

Pay range: Depends on experience. Please Submit hourly / Salary Requirements.

This is a position of office manager for Northwest Portland Ministries.  We are a small non profit located in NW Portland.  Our mission is to help our neighbors maintain their independence.  We operate several programs such as;  transportation, friendly visiting, chore services, emergency food box.

The office manager is responsible for overall operations of the office, a major support system for transportation department and the volunteer coordinator, and supervision of office volunteers.

Key responsibilities: 

·        Office / : Program Support:   Maintain office filing system, email communication, order office supplies, mailings, interface with computer technician for computer maintenance concerns, Administrative assistant support as needed assisting Executive Director and support system to Transportation Manager & Volunteer Coordinator. Experience in supervising volunteers helpful.

·        HR:  Submit monthly payroll, prepare and submit new employee paperwork.

·        Website:  Maintain and update website. Knowledge of Dreamweaver.

·        Data Management:  Maintain donor data base. Generate and send out thank you letters. Knowledge of Salesforce database helpful, but will train.

·        Public  Information:  Create 3X yearly newsletter, brochures, and flyers in support of programs. Create Annual Report. Submit PSA as needed. Knowledge of In-Design & Illustrator applications.

·        Board of Director support:  File and maintain all Board of Director meeting information.  Send out meeting notices.

·        Financial:  Light weekly bookkeeping (A/R & A/P): generate invoices, data entry of donations & payments received, pay bills. Knowledge of QuickBooks. Also monthly summary reports to contractors.

Qualifications:  The ideal applicant will be experienced in general office management. They would have worked with a non-profit organization previously.  Applicant will be knowledgeable in Microsoft Office (word & excel), data base management, In-Design, Dreamweaver, and Quick Books. Good oral and writing skills.  Proven ability to write and create newsletters. Experience working in a Non-Profit organization. Experience in event preparation helpful.
