Volunteer Specialist

Dynamic statewide non-profit is seeking a team-oriented part-time Volunteer Specialist to be a part of the successful SMART (Start Making A Reader Today) early literacy program. Must have minimum two years office experience and a passionate commitment to helping Oregon’s children read and succeed. Key components of this job include supporting the Volunteer manager’s activities by coordinating and conducting the day-to-day administrative and clerical duties associated with volunteer recruitment, training, and retention. The Volunteer Specialist must be a self-starter who is goal-oriented, professional and a successful problem-solver. Applicants should have intermediate to advanced skills in Microsoft Office. Job Description

Position Title: Volunteer Specialist

Position Summary: This position is responsible for supporting the Volunteer manager’s activities by coordinating and conducting the day-to-day administrative and clerical duties associated with volunteer recruitment, training, and retention. This position is responsible for performing general office duties, basic reporting and maintaining up-to-date volunteer records. The Volunteer Specialist must be a self-starter who is goal-oriented, professional and a successful problem-solver.

Reports To: Volunteer Manager

VOLUNTEER RECRUITMENT RESPONSIBILITIES:

• Collaborate with Volunteer Manager to draft application forms and other recruitment documents such as flyers, FAQs, & event posters. • Perform general office duties, including answering incoming phone calls, photocopying, filing, compiling and distributing materials, ordering supplies, preparing merged mailings, archiving records, etc. • Maintain up-to-date records, compile statistical data and create reports. • Assist with meeting and training logistics, including notices, preparations, minutes and follow-up. • Research and compile information for internship opportunities. • Assist with special projects and recruitment fairs. • Lead or assist with other tasks as assigned.

VOLUNTEER TRAINING RESPONSIBILITIES:

• Collaborate with the Volunteer Manager to create aesthetic and effective printed materials, fact sheets, etc. • Help plan and implement various training events and promotions including Manager’s Meetings. • Serve as the Friday Pages liaison for all field offices. • Update and revise all training manuals as needed.

VOLUNTEER ACKNOWLEDGMENT AND RECOGNITION RESPONSIBILITIES:

• Collaborate with Volunteer Manager to draft Volunteer Acknowledgement and Recognition processes. • Collaborate with Volunteer Manager to draft Power Point training presentations on Volunteer Acknowledgement and Recognition. • Ordering or procurement of tokens, awards.

ADMINISTRATIVE RESPONSIBILITIES:

• Maintain, update, and stock materials in on-line and hard copy folders. • Provide administrative support for the Board’s Risk Management & Volunteer Acknowledgement and Recognition Committees, including meeting announcements, note-taking, etc. • Document and distribute Risk Management & Volunteer Acknowledgement and Recognition committees meeting notes and action items. • Create and/or prepare reports and templates as appropriate for the Volunteer Manager.

KNOWLEDGE AND SKILLS:

• Strong project management skills • Excellent organizational skills and attention to detail • Exceptional written communication skills • Ability to work independently and with a team • Strong computer skills including Microsoft Office products • Type a minimum of 40 WPM • Experience with desktop publishing a plus • A sense of service and commitment to SMART’s mission

EDUCATION AND WORK EXPERIENCE:

• Some college education preferred • Minimum two years prior experience with office tasks

PHYSICAL REQUIREMENTS:

While performing the duties of this job, the employee is occasionally required to stand, walk, and/or sit. The employee must occasionally lift and/or move up to 25 pounds. The noise level in the work environment is usually moderate.
