Impact NW Seeks Contract Event Planner for 2009 Summer Garden Party

Impact Northwest (formerly Portland Impact) is seeking to fill a contract event planner position for the organization's Summer Garden Party Gala. The Summer Garden Party is an outdoor event, hosted by Portland Nursery on SE Division St.  The event features live and silent auctions, musical entertainment, a dinner for guests and a VIP reception for sponsors.  The goal for the event is to educate community members about the needs Impact NW meets in the community and raise funds in support of the agency's work.

This year's event is scheduled for June 27, 2009, from 5:00 – 11:00 pm.   

Duties of the Contract Event Coordinator include: 

1. Oversight of silent and live auction solicitation process2. Track and report on Auction Donations to the Development Director. Pick up Auction              Donations. 3. Implementing pre-event logistics timeline, including contracting with event vendors, and            coordinating event deliveries4. Provide staff support for Summer Garden Party Solicitations committee to complete their tasks5. Creating and implementing "day of" event punch lists6.  Creation of all event signage, including auction displays7. Oversight of event guest registration, management of guest list & tracking RSVP's 8. Point of contact for volunteers, caterer, entertainers and other assorted vendors at the event9. Provide training for volunteers at event 10. Post event follow up with auction attendees, ensuring all purchases have been received

Preferred Skill Sets:

Experience planning events with auctions for groups in excess of 300 attendees

Experience with Auction Pay event software

Basic understanding of non-profit fundraising principles and the importance of donor  Stewardship

Proficient in Microsoft Word, Excel, PowerPoint & Publisher

The ability to communicate effectively in person and in writing

The ability to remain calm during high pressure situations

A willingness to integrate into Impact Northwest's Development Department for this event

Ability to lift 30lbs.

Ability to provide your own transportation

Prior to offer of contract position, you will be required to pass a criminal background check
