Job Title: Assistant House Manager/Volunteer Coordinator

Department: Operations

Reports To: House Manager

Classification: Full-time, exempt

Primary Purpose: The Assistant House Manager coordinates the volunteer program and collaborates with the House Manager to deliver family services to guests. There are two Assistant House Manager positions, one at each House.

Primary Duties and Responsibilities: Volunteer program management: • In collaboration with the other Assistant House Manager: • develop and implement an on-going plan to recruit and maintain volunteers; • develop and maintain volunteer manuals; • plan and implement at least one annual volunteer appreciation event for all in-house volunteers; • produce periodic volunteer newsletters and features for RMHC web-site and e-news. • Manage in-house volunteers for a House: • screen and interview potential volunteers; • develop volunteer schedules; • orient and train new volunteers; • develop and conduct on-going volunteer continuing education. • Manage community service volunteers for a House, including scheduling, welcoming, orientation and supervision. • Design and coordinate projects and tasks for all volunteers. • Maintain data base and paper records related to the volunteer program; prepare and issue various reports. • Respond to requests for volunteer information, such as telephone and Internet inquiries. • Participate in volunteer fairs or shows, as appropriate. • Participate in community outreach and public speaking events as appropriate.

Family services: • Assist in the delivery of family services, including but not limited to reviewing referrals, check-ins, check-outs; and providing comfort, courtesy, safety and a welcoming environment to families. • Ensure that House guidelines are followed. • Provide 24/7 on-call back-up coverage to House Manager for support of and consultation with House staff, including emergency situations, as needed. • Ensure cleanliness and order of the House, including but not limited to common living spaces, guestrooms and storage areas. • Assist with daily administrative responsibilities. • Respond effectively and efficiently to emergency systems and situations. Other Duties and Responsibilities: • Assist the House Manager in any of his/her responsibilities. • Conduct House tours for various visiting groups. • Attend various staff and department meetings. • Manage the pop tab program (East House only). • Schedule the library activities (East House only). • When feasible, assist with various fundraising events that take place each year.

Skills Required: • Exceptional verbal, written, and interpersonal communication skills • Computer proficiency, including email, data base, Word and Excel • Ability to work well under pressure • Ability to effectively manage multiple projects • Strong attention to detail • Good analytical and problem-solving skills • Creative use of resources within a limited budget • Aptitude and interest in basic home maintenance preferred

Supervisory Responsibilities: Volunteers

Experience Required: • Minimum of one year volunteer management experience strongly preferred. • Minimum of two years experience working in a non-profit environment.

Educational Requirements: Baccalaureate degree or equivalent experience required.

Interpersonal Skills: • Highly organized, creative, energetic and collaborative team player • Confidence, sensitivity and diplomacy to interact and collaborate with varied constituents, including guests, volunteers (including members of the Board of Trustees), hospital personnel, staff, donors • Ability to lead and motivate teams • Flexibility with regards to work assignments and changing priorities • Ability to see change as an opportunity rather than an obstacle

Work Environment: Most work is conducted in an office or house environment. Must possess a valid driver’s license and have access to a personal motor vehicle. Must be able to lift 30 pounds.
