Membership and Administrative Associate

Under the direction of the Executive Director, the Membership and Administrative Associate will coordinate all aspects of Xerces Society membership, including direct mail, membership renewals, annual fund-raising appeals, membership database management, and merchandise sales. The associate will also perform day-to-day office management duties and provide staff support. This person must be a dynamic multi-tasker, able to juggle many projects and deadlines and complete them all with grace and a sense of humor.

The Xerces Society is a small organization, with a full-time staff of twelve people. Because of this, the person in this position must be a self-starter and a self-manager. MAJOR JOB ACTIVITIES • Coordinate all aspects of Xerces Society membership (roughly 4,000 people), including direct mail, membership renewals, annual fund-raising appeals (twice each year), and managing the membership database; • Oversee merchandise sales (primarily books); • Handle routine correspondence with Xerces Society members (via mail, email, and telephone); • Assist other staff with mailings, information materials, outreach events, managing media lists and other activities; • Process incoming checks and make bank deposits; • Perform day to day office duties such as answering phones, ordering supplies and sorting mail; • Update the Xerces Society’s website; and • Assist with writing and sending email newsletters to members.

REQUIRED SKILLS/KNOWLEDGE • Background in nonprofit membership or administrative work (at least 2 years preferable), or background in work that provides similar experience; • Computer experience (Microsoft Word, Excel, and Access; Adobe Photoshop and Acrobat; WordPress; proficient at using the internet); • Ability to juggle multiple tasks; • Dedication to environmental conservation issues (specific knowledge of invertebrates is not required); • Good sense of humor; • Proven ability to work as a member of a team; and • Ability to complete work with little supervision.

DESIRED SKILLS/KNOWLEDGE • College degree; • Strong writing ability (background in writing or editing desirable); and • Website editing experience.

TERMS: This is a full time position (40 hours per week). The Xerces Society is an equal opportunity employer committed to workforce diversity.

SALARY: $28,000 to $33,000 DOE

BENEFITS: This position includes a generous benefits package. Eleven paid holidays and three weeks vacation accrued after first year. Eight percent of the base salary will be contributed by employer toward health and dental insurance premiums through a Section 125 Cafeteria Plan. Up to eight percent of base pay contributed by employer toward a SEP retirement account, beginning in January of the calendar year following the start date.
